When you and your associates in your company use Autorola software and services, we store and use your personal information. This privacy notice is meant to inform you, the 'data subject', how we use your personal information.

Protection of your personal information is important and we encourage you and your associates to read this privacy notice.

Individuals enquiring about Autorola software and services

When you contact Autorola Solutions to enquire about software and services via i.e. www.autorolagroup.com, your name and contact information is send to the Autorola Solutions. An employee at Autorola Solutions will then get in contact with you to discuss your enquiry. We do this as part of discussing possibities of entering into contracts with new customers.

Your contact information will not be shared with third parties and will be deleted 1 year after your enquiry.

Individuals who are signed up as users to Autorola software and services

Your name and contact information are used to provide access to Fleet Monitor, Order Monitor, VIS and other related Autorola software and services in accordance with contractual agreements with your company.

Your contact information will also be used to send e-mails from Autorola to you, which are meant to facilitate your usage of Autorola software and services.

There are certain cases where we share your personal information, collected when signing up to Autorola software and services, with third parties in order to perform the agreed service. The categories of recipients are:

  • Financial auditors
  • The authorities
  • Our partners hosting our web sites and Internet services
  • Our data backup partners
  • SMS service providers
  • E-mail service providers
  • Third party suppliers as agreed with your company
  • Support system supplier

Unless there is a legal claim we intend to delete, or anonymize, the data collected when being signed up after 2 years after your last login. You and your company have the right to instruct Autorola Solutions to delete your personal data, for example via support@autorola.com. See section "Your rights" below. Please allow a margin of time as we do not check for information to delete every day.

Tracking when using Autorola software and services

Autorola use automated trackers and analysis tools to optimise the user experience and effectiveness of our software and services. This means that we use third party web-site usage trackers that collect anomynous data and provide Autorola with usage and opmisation reports.

Furthermore we use internal software to assess if we can optimize the benefit provided to you. In some cases we contact the customer, you, to inform of and advice on benefit enhancement possibilities.

We use the information and statistics internally in the Autorola concern and do not share these data with third parties beyond what is explained above.

Individuals using Autorola Service Desk or by other means ask for support

We are always happy to help when you have issues with our software and services. We have a legitimate interest in helping our customers to use our software and services.

We use third party systems for tracking our support requests and the personal information you provide for support purposes might be stored at an external partner.

In cases where you request support for a sub system we might have to share the personal information you provide for support purposes in order to get the required support from our partners.

We will delete, or anonymize, the personal information you provide for support purposes 1 year after your request have been resolved.

Your rights

In accordance with the law you have the following rights in relation to your personal data used by Autorola:

Right to erasure ('right to be forgotten')
Autorola will delete or anonymize your personal information when requested. The deletion of your personal data will be done as soon as possible within one month of receiving your request.

Autorola is only obligated to delete your data if Autorola is not obligated by law to keep the information and one of the following applies:

the personal data are no longer necessary in relation to the purposes for which they were collected or otherwise processed;

you withdraw the consent given for the collection and processing, and where there is no other legal ground for the processing;

you object to the processing for direct marketing purposes;

your personal data have been unlawfully processed;

your personal data have to be erased for compliance with a legal obligation in law to which Autorola is subject;

the personal data have been collected in relation to the offer of information society services.

Right to restriction of processing
Autorola will stop processing your personal data on your request.

Autorola is only obligated to stop processing your data if one of the following applies:

  1. the accuracy of the personal data is contested by you, for a period enabling Autorola to verify the accuracy of the personal data;
  2. the processing is unlawful and you oppose the erasure of the Page 6 of 6 personal data and requests the restriction of their use instead;
  3. Autorola no longer needs the personal data for the purposes of the processing, but they are required by the data subject for the establishment, exercise or defence of legal claims;
  4. you have informed Autorola of infringement on your interests, rights and freedoms pending the verification whether the legitimate grounds of Autorola override yours.
Right to rectification
If you find that we have wrong personal information let us know and we will correct the information.

Right of access by the data subject
It is your right to have a copy of the personal data Autorola have on you, first time free of charge. We will provide it digitally unless requested otherwise. More rules apply for visibility into your personal data but all the required information should be covered above. The copy of your personal data will be delivered as soon as possible within one month of receiving your request.

Right to withdraw consent
Where our collection and use of your personal data is based on your consent you can withdraw that consent at any time by contracting Autorola.

Right to data portability
You are entitled to get a copy of your personal data in a machine readable format. Autorola can also send it directly to another company on your request.

Autorola is only obligated to provide your personal data where:

  1. the data is provided to Autorola by you,
  2. the data collection is based on your consent or a contract in which you are a party and
  3. the processing is carried out by automated means (meaning no information on paper).
